Retreat Planning Guide
RETREAT POLICIES

It is important to review the Farm's policies before bringing a group for an outing.  Group leaders may wish to communicate some of the following policies to their group members.

Camp User Guidelines
First Aid Policy
Payment Policy

  Camp User Guidelines

1. Please be respectful and considerate of other groups using the farm during your stay.

2. Adult supervision of youth is required at all times.  We recommend at least a 1 to 10 adult to child ratio.

3. Camp quiet hours are from 10:30PM to 6:30AM.  Groups should respect others and keep noise to a minimum during these hours.

4. Smoking, alcoholic beverages, drugs or firearms are not permitted on the grounds.  Use or possession of any of the above will result in termination of stay and/or appropriate action with local authorities.

5. Respect others' property including the Farm's.  Property defacing or destruction will result in an additional charge for damages.  Group leadership  is the  responsibility for the conduct of the group.

6. Guests are responsible for their own belongings.  Personal sports equipment should be stored securely and handled safely.

7. Pets are not permitted on the Farm.

8. Passengers are not to be transported in non-passenger vehicles while on the Farm.

9. Marmon Valley Farm reserves the right to dismiss guests who do not abide by the rules of the camp.

  First Aid Policy

Each group is fully responsible for its own first aid needs.  User groups are responsible to bring at least one adult with current CPR and First Aid certification from a nationally recognized certifying agency.  We advise every group to bring a first aid kit to treat minor injuries that may occur.  Additionally, all user groups are advised to gather the names and addresses of all participants; emergency contact names and numbers, a list of any person's know allergies or health conditions that may require treatment, restriction or other accommodations while on site. and a signed permission to seek emergency treatment.  Group leadership should keep those records on hand for the duration of the retreat.  Group leaders are expected to report any injuries beyond scratches and minor cuts to the office or stable area.  Accident reports will be provided.

Marmon Valley Farm is in a 911 area.  The local emergency squad will respond to all call, usually in less than 10 minutes.  The closest hospital is Mary Rutan in Bellefontaine and can be reached at 937-592-4015.  We reserve the right to turn away guests who arrive with communicable illnesses (lice, pink eye, etc.).

Exception to First Aid Policy: Farm staff will offer first aid and/or arrange ambulance transportation and care for individuals who become injured while participating in the following camp sponsored activities: horseback riding, challenge course, climbing wall, hayride, barn dance and lake when our staff are life guarding.

  Payment Policy

Retreat Deposit:
The Group Leader must return a 30% retreat deposit along with a signed copy of the group's user contract within two weeks of receipt of the contract.  Tentative reservations (space held prior to receiving a deposit) will only be held for 15 days without a deposit.  Beyond two weeks, a deposit will only be accepted if room is still available.  Groups returning deposits after the two week period will be charged a $50 processing fee.  Prices are based on a timely return of your deposit.  Due to unforeseeable circumstances, if the applicant's confirmed date needs to be changed, we will transfer the total deposit, within two months of the original confirmed date, to an available date in the same calendar year.  After two months un-transferred deposits will be forfeited.  Cancellation of reservations will result in forfeit of deposit.

Retreat Balance:
The remaining balance from a retreat contract will be due upon arrival.  Should a group leader bring less than the guaranteed minimum (see contract), the group will still be changed the full amount for those not in attendance.  The balance can be paid by cash, check or credit card.  We accept Visa, Master Card and Discover.
